Job Description: * Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries. * Directs visitors by maintaining employee and department directories; giving instructions. * Maintains security by following procedures; monitoring logbook; issuing visitor badges. * Maintains safe and clean reception area by complying with procedures, rules, and regulations. Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs. * Answer, screen and forward any incoming phone calls while providing basic information when needed * Receive and sort daily mail/deliveries/couriers * Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges) * Update appointment calendars and schedule meetings/appointments * Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc. * Contributes to team effort by accomplishing related results as needed. * direct persons to correct destination * deal with queries from the public and customers * ensure knowledge of staff movements in and out of organization * monitor visitor access and maintain security awareness * provide general administrative and clerical support * prepare correspondence and documents * receive and sort mail and deliveries * maintain appointment diary either manually or electronically * organize conference and meeting room bookings * co-ordinate meetings and organize catering * monitor and maintain office equipment * control inventory relevant to reception area
